What was the need?

The Challenge

The project faced several high-level challenges typical of a large digital and data transformation initiative. A major early hurdle was the fragmentation of information across multiple legacy systems, each with inconsistent structures, incomplete records, and differing business rules. This made it difficult to establish a single, reliable view of customers, operations, and performance. Additionally, many core processes across departments were heavily manual, labour-intensive, and dependent on undocumented knowledge, creating operational risk and slowing the adoption of new technology. Aligning stakeholders around new workflows, data standards, and automation requirements required ongoing change management. The project also needed to balance day-to-day operational demands with long-term infrastructure development, ensuring improvements were delivered without disrupting business continuity. Finally, preparing the organisation for future AI capabilities required building solid data governance, clear ownership, and scalable architecture — all while upskilling teams to engage confidently with new digital tools. Overall, these challenges shaped the strategic, phased approach needed to deliver sustainable transformation.

What did we do?

The Solution

The project’s solution focuses on creating a modern, scalable digital foundation that supports efficient operations, improves data reliability, and prepares the business for AI-driven innovation. A cloud-based architecture was introduced to centralise previously fragmented data, ensuring consistent structures, automated updates, and clear governance across all core systems. This unified data environment enables accurate reporting, smoother workflows, and informed decision-making. Alongside this, key business processes are being redesigned and automated to reduce manual effort, remove duplication, and improve accuracy across departments such as Sales, Admin, Compliance, and Finance. The project also delivers new internal tools that increase productivity, standardise information flows, and give teams easier access to the insights they need. Throughout the solution, scalability, security, and future AI readiness remain central priorities, ensuring the organisation can adopt advanced analytics and intelligent automation confidently. This integrated approach provides both immediate operational benefits and a long-term platform for digital growth.

The Impacts and Benefits

Impacts for the Company

The project has already delivered significant organisational impact, laying the groundwork for long-term efficiency, scalability, and innovation. By centralising data into a unified, reliable environment, the company now operates with far greater accuracy, consistency, and confidence in its information. Manual, repetitive processes across Sales, Admin, Compliance, and Finance have been streamlined or prepared for automation, freeing up substantial staff time and reducing operational risk. Teams benefit from improved visibility, faster access to information, and clearer workflows, enabling quicker decision-making and better collaboration. The introduction of modern digital tools has also enhanced productivity and created a more structured operating model that supports growth without proportionally increasing workload. Additionally, the company is now positioned to adopt advanced analytics and AI solutions, opening the door to smarter forecasting, customer insights, and intelligent automation. Collectively, these improvements strengthen commercial performance, support operational resilience, and create a solid foundation for future innovation and competitive advantage.

Impacts for the Academic Team

The project has provided the academic team with a rich, real-world environment to apply and extend contemporary research in data engineering, digital transformation, and organisational change. Working closely with an SME has allowed the academics to translate theoretical models into practical, measurable outcomes, strengthening the relevance and impact of their work. The complexity of the company’s legacy systems, data challenges, and operational processes has offered valuable case material for teaching, publications, and future research. The project has also enabled the academic team to experiment with modern cloud technologies, automation approaches, and AI-readiness frameworks in a live commercial setting, deepening their applied expertise. Through regular collaboration with industry stakeholders, the academics gain insights into the evolving needs of businesses adopting advanced digital tools. Overall, the partnership enhances knowledge exchange, enriches research outputs, and provides meaningful experiential learning that strengthens both academic practice and industry engagement.
